How to: Daycare, Childcare & Dayhome Tuition Reminders

Do you have problems collecting your weekly tuition from your clients???

Do you feel awkward asking for your weekly paycheck?

Do you want to remind them that there tuition is do but don’t know how to?

Okay well if you answered yes to all of the above questions then you should read this post…

Alright it’s Friday and all your client are getting paid today so why shouldn’t you right!!! Well if you insist on waiting until Monday for your tuition here are some of the things you may run into.

*Your client may run to the local Wal-Mart, Target, Food store on Saturday morning then take a trip to the movies Saturday night but what the client doesn’t realize is she went over on her budget so now it’s Sunday night and she’s thinking of ways to avoid paying you…

We all have heard all the excuses:

* I forgot my checkbook then a different person picks up and you don’t get paid.

*My car broke down so I’m trying to borrow the money to pay you.

*They keep their kid home for days saying they are sick when actually they just don’t want to pay you.

*The bank made a mistake in my account and I’m trying to get that straightened out so I can pay you.

*Oh so and so (HUSBAND/WIFE) didn’t pay you, okay I’ll tell him to give you the money tomorrow.

Well the list could go on and on so I’ll stop here and tell you the easiest ways to remind them their tuition is due and how you can get it from them.  Now this may not work on everyone because unfortunately some people are just beyond common since.

First thing is if they don’t pay you then you should never watch their child until they do. However, if they give you an excuse confront them with it because they are feeling as awkward as you are although I can tell you from experience when you just let it pass as if you don’t care you will be opening a door to a million and one more excuses in the future. If they say oh I for got your check then say “okay no problem but if you want to avoid my outrageous late fee of $30.00 per day then please have it here by ____time” or you could say “I understand and I would hate to charge you a late fee of $30.00 per day but my policy states tuition must be paid by ____o’clock and I’m sure you understand because you wouldn’t want your boss avoiding paying you your paycheck either right!”

Now to avoid those conversations altogether try these little reminders first:

1. Simple Tuition should always be due the Friday before the Monday of care to avoid parents going over their budget. This should be in your contract and should not change for anyone regardless.

2. Send a text reminder Thursday night and Friday morning reminding them their tuition is due. I also tell parents this during my contract signing. Don’t be afraid to say you expect reliable paying parents in your interview. Let them know up front you will not tolerate late payments, pick ups drop off etcetera and you want to start an open and honest relationship with them from day one so you can continue to provide the best service to everyone in your facility.

You could try this simple text:

3. You could also sign up for Dial My Calls and schedule your client calls to go out automated by a call, text or email at a specific date and or time.

If you want to see a sample of one of my calls you can follow this link to hear the text to speech male that will start talking once your client picks up their phone. You may also use a female voice or your own voice to record this type of recording. I just prefer to use the text to speech option.  http://www.dialmycalls.com/s/CO3HG04

4. You can put a door sign on your front door to remind them you didn’t forget they still need to pay you. I bought this car door magnet from Vista Print . However, if you don’t want to spend a lot of money you can download my door signs for FREE.
